Automansions (“we”, “our”, “us”) places great importance on protecting your personal information. This policy explains what information we collect, why, how it is used and retained, and your rights, in accordance with Quebec’s Act respecting the protection of personal information in the private sector, as amended by Law 25.

What personal information we collect

a) Quote request (quote form)
When you complete our quote request form, we collect:

your contact details: name, email address and, where applicable, phone number;
information about your project: dimensions, materials, options, region and any other details you provide;
your IP address and the time of submission, for security and abuse-prevention purposes.

b) Comments
When you leave a comment on the site, the data in the comment form, as well as your IP address and browser user-agent, are collected to help detect spam. An anonymized string (“hash”) created from your email address may be sent to the Gravatar service; its privacy policy is available here: https://automattic.com/privacy/.

c) Cookies and browsing
Our site uses cookies for its proper operation (preferences, login session for accounts, etc.). You can configure your browser to refuse them.

Why we use your information

We use your information solely to:

process and respond to your quote request;
prepare and send you an estimate or service offer;
communicate with you about your project;
ensure the security of the site and prevent fraud or abuse;
comply with our legal obligations.

We do not sell your personal information and do not use it for marketing purposes without your consent.

Consent

By submitting the quote request form and checking the consent box provided, you consent to our collection and use of your information for the purposes described above. You may withdraw your consent at any time by writing to us at the address above; withdrawal does not affect processing already carried out and may prevent us from acting on your request.

Use of artificial intelligence and automated processing

To speed up the handling of your request, the content of your form is analyzed by an artificial intelligence service (OpenAI) in order to produce a summary of your request, identify missing information, and suggest a reply. No decision is made on a fully automated basis: every submission and every reply is reviewed and approved by a person before being sent to you. No price is communicated automatically.

Sharing of your information and transfers outside Quebec

We share your information only with the providers that help us operate the site and process your request, and only to the extent necessary:

OpenAI (artificial-intelligence processing) — information processed on servers located in the United States;
Google Workspace (sending follow-up emails) — servers located in the United States.

As some of these providers are located outside Quebec, your information may be communicated there. We have carried out the required assessment and taken measures so that this information receives adequate protection. Your information is shared with these third parties only to the extent necessary to process your request and is not used for any other purpose.

How long we keep your information

Quote requests: kept for a maximum of 24 months after your last interaction, after which they are automatically destroyed. If a business relationship is established, certain information may be kept longer to meet our legal, tax, or contractual obligations.
Comments: kept with their metadata so that follow-up comments can be recognized and approved automatically.
User accounts: profile information is kept for as long as the account exists.

Your rights

In accordance with Law 25, you have the right to:

access the personal information we hold about you;
request its correction if it is inaccurate or incomplete;
withdraw your consent and request the deletion of your information, subject to our legal obligations;
receive your information in a structured, commonly used technological format (portability);
file a complaint with the Commission d’accès à l’information du Québec (https://www.cai.gouv.qc.ca).

Security and privacy incidents

We take reasonable measures to protect your information (restricted access, encrypted transmission, limited retention). In the event of a confidentiality incident presenting a risk of serious harm, we will take the necessary measures and notify the individuals concerned as well as the Commission d’accès à l’information, as required by Law 25.

We may update this policy to reflect changes in our practices or in the law. The update date appears at the top of the page.
